A client report should explain what changed, how sure you are and what the agency will do next. A collection of answer screenshots cannot do that on its own.
Use this monthly report template
1. Business objective
Client: [name]. Buyer: [role/segment]. Market: [locale]. Priority services: [scope]. Reporting period: [dates]. Accountable owner: [name].
2. Measurement scope
Panel version: [ID]. Prompts: [count]. Engines and modes: [list]. Repeats: [count]. Scheduled observations: [count]. Valid observations: [count]. Failures/no answers: [counts with definitions].
3. Comparable visibility results
| Metric | Previous period | Current period | Scope / caveat |
|---|---|---|---|
| Brand mention rate | [value] | [value] | Valid responses; fixed panel |
| Owned-domain citation rate | [value] | [value] | Link to client’s domain |
| Competitive mention share | [value] | [value] | Named competitor set |
| Incorrect brand descriptions | [count] | [count] | Reviewed observations |
| Citation-gap prompt IDs | [count] | [count] | Competitor cited, client not |
Do not insert zero when a measurement is unavailable; use “not measured.” Report percentage-point changes for rates and show denominators.
4. Commercial outcomes
List identifiable AI referral sessions, verified lead events, sales-accepted inquiries and opportunities. Label self-reported AI influence separately. Explain any changed attribution or tracking configuration.
5. Findings and decisions
For each important finding, attach an evidence reference, affected page, business implication, proposed action, owner and verification check.
6. Work completed and next priorities
Separate delivered changes from recommendations awaiting approval. Explain the next few priorities in buyer language: “clarify service scope” is more useful than “increase GEO signals.”
Show uncertainty without hiding the result
If engine behavior changed or a panel was edited, annotate the chart and avoid a misleading period comparison. Keep detailed response evidence in an appendix so the main report remains readable.
Frequently Asked Questions
Only with a published formula and supporting metrics. A composite score should not hide accuracy errors or weak inquiry quality.
No. A before-and-after comparison alone does not establish causation.
